Imagine you are the project manager for a technology company tasked with developing a new mobile application. The progress so far, while on time, does not meet the quality standards established at the beginning of the project. You are preparing a memo to management to provide them an update on the project. Given these circumstances, discuss what you feel is the best way to communicate the status of the project and justify the decision with specific reasons, facts, and examples. Here is how I would address the issue

I'm happy to report that the mobile application that had been in the works has finally been completed. However, the standards that we established for the mobile application prior to the commencement of the project were not met. I believe that only a few minor tweaks are required, and that a comprehensive examination of the entire program will resolve the majority of the difficulties while still keeping the project on track. The second most significant component of the project is that we will add some fresh professionals to the team so that software testing can be done from the ground up, which will improve the final product's quality standards.

There are a few ways to go about reporting the news to management that including good and bad news. First what I would do as a project manager is work backward in the process and first, pinpoint where the misstep in quality has gone wrong. You also have to look back at your meetings and make sure that communication and expectations were firmly set. That is why taking detailed notes during your meetings is super important. Once you have identified where and why the team has not met quality standards you can go back to management with actual reasons why this happened and the most important piece of the solution to the problem.

The most important piece when drafting the memo is, to be honest, and transparent about why this happened and how delaying the fix will delay the project even more, and that ignoring the fix will have long-term repercussions on the project and how projects are done in the future. And if you hand over a sub-standard project to the client this will hurt your company's reputation thus hurting the business as a whole.

Hello Professor and class,

After going through the class material and my own professional experience, there are a few questions that come to mind as I try to approach this situation. How does this management normally format or prefer communication of these events? Where should this information be store and received by management? Since I am preparing a memo, I think the best way to communicate this information is to be truthful of my process. It seems like the product was made or got to a checkpoint but after tests and assessments were done, the product actually failed to meet the quality standard that were established at the beginning of the project. I would include those results in my memo. If this is not the situation, then perhaps the quality requirements were forgotten and the project moved out of scope? Either way, in my professional opinion, there is no way that this project is on time. If I have not met all of my identified requirements per the scheduled plan, then the project is not in time – quality requirements included. It would be like delivering a car without the wheels and claiming it is complete. If the memo format was completely up to me, I would use a 4 Blocker for project updates. I would include what the project is, what was achieved, an items spotlight to include that the project does not meet quality standards, and options of corrective action or the corrective action I am going to take.
